TERMS AND CONDITIONS OF HIRE

 

DEFINITIONS
To assist, when the following terms are referred to in this document:
“PF” means Promise Faith, and includes the organisation, its buildings, grounds and facilities.
“PF Management” means one or more representatives of PF, authorised to make decisions regarding the use of PF.
“Group” means any group or organisation hiring PF.
“Organiser” means the person in charge of a Group, who takes responsibility for the Group and liaises with PF Management.
“Attendees” means all attending members of a Group, including overnight guests and day visitors.
“Events” means one of PF’s own events.
“Visitors” means those attending one of PF’s own events.
“Sheriff” means the designated PF representative responsible for the camping and parking area.

 

1. GENERAL TERMS
1.1 Children under 2 years may stay free of charge.
1.2 All bookings are self-catered, or by special arrangement.
1.3 Accommodation prices are per person per night. Contact PF for costings.
1.4 Kitchen and BBQ facilities are available to hire. Contact PF for costings.
1.5 PF’s own Events are free to attend. Accommodation is generally also free, though a donation to the ministry commensurate with the value is appreciated. 

2. BOOKING – GROUP HIRING
2.1 The Organiser must submit a Booking Request, stating the name and nature of the Group and the purposes for which PF will be used.
2.2 All bookings are subject to availability and approval.
2.3 PF Management reserves the right to refuse any booking if the nature or activities of the Group are deemed illegal or unsuitable for PF.
2.4 PF Management reserves the right to cancel any booking, confirmed or otherwise, if information becomes available indicating dishonest or fraudulent dealings on the part of the Organiser.
2.5 A non-refundable deposit must be paid to secure the booking. This consists of $100.
2.6 Final Group numbers must be provided no later than 14 days prior to the check-in day.
2.7 Once final Group numbers have been received, an invoice will be issued for the full amount. This invoice must be paid no later than 7 days prior to the check-in day. The deposit will then be converted to a bond. This rule is subject to change on a case-by-case situation.
2.8 The bond will be returned within 14 days of completion of hire, subject to Section 3, once premises have been inspected and found to be in satisfactory condition.

 

3. MISSING OR DAMAGED PROPERTY
3.1 The Organiser is responsible for missing or damaged property belonging to PF, the Group or any Attendees.
3.2 Visitors attending one of PF’s own Events are each responsible for missing or damaged property that they caused or are responsible for, belonging to PF, or other Visitors.
3.3 PF Management reserves the right to raise an invoice to cover the cost of repairs or replacement of missing or damaged property.
3.4 If damage occurs or property is missing and the cost of the repair or replacement invoice exceeds the bond, the Organiser is responsible for all additional costs.

 

4. CHECK-IN
4.1 Check-in is at 5:30pm or by arrangement.
4.2 The Organiser must be present when all other Attendees arrive.

 

5. CHECK-OUT
5.1 Accommodation check-out is at 10:30am or by arrangement.
5.2 Site-check out is at 2:00pm or by arrangement.
5.3 The Organiser is responsible for leaving PF in a reasonably clean and tidy state. This includes placing leftover food and other waste in the bins provided, and cleaning the kitchen prior to checking out.
5.4 PF Management reserves the right to raise an invoice to cover extra cleaning costs if this is required.
5.5 If extra cleaning is required and the cost of the extra cleaning invoice exceeds the bond, the Organiser is responsible for all additional costs.

6. BED LINEN
6.1 Attendees are to supply all their own linen, including, but not limited to: Pillows, pillow slips, sheets, doonas, blankets and sleeping bags, unless prior arrangements have been made with PF.
6.2 All beds are supplied with a cotton mattress protector.
6.3 Vinyl mattress protectors must be used for young children if necessary. These are available upon request.

7. SAFETY
7.1 The Organiser is responsible for the appropriate supervision of all Attendees. This includes ensuring that no disorderly or illegal behaviour occurs.
7.2 The Group must supply their own First Aid kit suitable for the size of the Group, and sufficient to treat injuries such as minor burns, cuts, abrasions and insect bites.
7.3 At PF’s own Events, a First Aid Kit is supplied, along with a qualified First Aid Officer.
7.4 All Attendees and Visitors accept the inherent risks associated with participating in activities conducted at PF.
7.5 PF takes no responsibility for activities conducted by the Group, or during a PF Event, for any personal injury or death resulting from these activities or Events.
7.6 Children under 12 years of age must be supervised by their parents at all times.
7.7 There is no child-minding facilities or activities provided by PF.
7.8 All children under school age must be accompanied by a parent when showering or toileting.
7.9 Permission must be obtained from PF Management before lighting any campfires.
7.10 Campfires only to be in the designated areas.

8. CAMPING
8.1 All campers (Attendees or Visitors) camping at PF are subject to the rules and governance of the Sheriff.
8.2 Campers must follow any direction given by the Sheriff.
8.3 Camping (Tents, RVs or Caravans) should only be in designated areas or at the direction of the Sheriff.
8.4 There is to be no camping or parking under or close to trees or tree branches because of the danger of falling limbs.
8.5 PF takes no responsibility for damage to property or person. Camping and parking is at the owner’s risk.
8.6 There are no powered sites available.
8.7 Generators may be used between the hours of 7am and 11pm.
8.8 Vehicles are to be parked in designated parking areas only.
8.9 Designated parking areas are marked on a map given to campers on arrival.
8.10 A representative of PF will be available at all times, and has the right to enter any part of PF facilities, if required.
8.11 Water is tank water only and is safe to drink. However, it is limited. Please use responsibly.
8.12 Showers should be short. Please ensure all taps are turned off properly after use.
8.13 When showering or toileting, Attendees and Visitors are requested to clean after use.
8.14 No washing of vehicles is allowed.

 

9. GENERAL RULES
9.1 No alcohol is allowed on the grounds or in the PF facilities.
9.2 No smoking in any of the following areas:
9.2.1 Indoors or in any enclosed spaces
9.2.2 Within 10 metres of any outdoor dining areas
9.2.3 Within 4 metres of any building entrance
9.2.4 Within 10 metres of any areas used for organised sport
9.3 No illicit drugs are to be brought to PF. Any person found to be in possession of or under the influence of a banned substance will be expelled immediately.
9.4 No sports are to be played indoors, due to wear and tear and the risk of damage.
9.5 No pets or other animals are to be brought to PF or their facilities without prior permission.
9.6 Due to the proximity of neighbouring properties, no excessive noise is permitted after 9.30pm. This includes sport, ball games, music and other generally noisy activities.
9.7 It must be completely quiet at PF from 11pm to 7.00am, unless prior arrangement has been made.

 

10. NOTES
10.1 These Terms and Conditions of Hire or use must be communicated and agreed to by all Attendees or Visitors prior to arrival at PF.
10.2 Any individual, group or organisation in breach of any one or more of these conditions may be expelled from PF. Depending on the nature of the breach, police may be notified.
10.3 The Group shall comply with all requirements of the Health Act, Local Government Act or any other Act of the Parliament of New South Wales, or any regulation made thereby as shall be applicable in the circumstances.
10.4 The Organiser shall be made liable for any breach of such Act and shall indemnify PF or any individual acting on behalf of PF, with respect to any such breach.
